About the Executive Assistant role 

We are looking for an Executive Assistant to join our team and provide exceptional support to a busy lifestyle blogger, cookbook author, and SaaS company owner. This unique role requires someone who can seamlessly manage a variety of tasks, from coordinating content schedules to assisting with business operations for a thriving software company.  

The ideal candidate thrives in a fast-paced environment, can pivot quickly, and is highly organized.  

This role offers the opportunity to work closely with a dynamic and influential CEO, gaining exposure to both the tech industry and the world of social media and publishing. The ideal candidate will be passionate about supporting the growth of the company and the personal brand of the CEO. 

As a crucial asset to keeping CEO Tori and the team organized, you will play an essential role in ensuring the smooth day-to-day operations of the business. Note, this is an in-person position, so candidates must be based in the Okanagan Valley, as our office is located in West Kelowna. This is a full-time position.

In this role you will be expected to: 

  • Provide administrative assistance including scheduling meetings, prepare and edit presentations and documents, and take meeting minutes. 
  • Assist with business operations for a thriving software company. – Coordinate and manage collaborations, sponsorships, and partnerships related to the CEO’s influencer activities. 
  • Oversee the production and promotion of cookbook-related content, including photoshoots, recipe testing, and marketing campaigns. 
  • Liaise with internal and external stakeholders on behalf of the CEO. 
  • Coordinate collaborations, sponsorships, and partnerships related to the CEO’s influencer activities. 
  • Coordinate team events and travel: including booking flights, accommodations, and itineraries. 
  • Coordinate details and schedules with photographers, videographers, and other content creators. 
  • Manage the CEO’s calendar and the team calendar. 
  • Manage the CEO’s email inbox and the general info email inbox, responding to inquiries promptly and professionally. Delegate and prioritize tasks appropriately and efficiently. 
  • Organize Dropbox so files are readily and easily accessible. 
  • Run ad hoc errands, coordinating with other staff as needed. 
  • Coordinate and assist with the production and organization of cookbook-related content, including photoshoots, recipe testing, and basic copywriting. 
  • Assist in managing the CEO’s social media accounts, including content planning, creation, and scheduling in tandem with our team. 
  • Assist, when needed, in the creation of content for blog posts, social media (Instagram, Facebook, TikTok), email newsletters, ads and all other campaigns. 

 

This role is a good fit for you if you are: 

  • Highly organized and resourceful, with a keen eye for detail 
  • Enthusiastic about cooking, technology, and social media: comfortable in the kitchen is a plus 
  • Strong interpersonal and communication skills with the ability to build relationships with key stakeholders 
  • Flexible and adaptable to changing priorities and demands  
  • Able to work independently and as part of a team in a fast-paced environment 
  • Technically savvy, resourceful, and demonstrate the ability to leverage technology to streamline the work you do 

 

You will need to have: 

  • Proven experience as an administrative assistant or in a similar role 
  • Excellent organizational and time management skills 
  • Strong written and verbal communication abilities 
  • Proficiency in Microsoft Office Suite, Google Workspace, and social media platforms 
  • A vehicle 
  • Ability to multitask and prioritize tasks in a fast-paced environment 
  • Ability to handle confidential information with discretion and professionalism 

 

Special consideration will be given if you have:  

  • Experience in event planning and coordination 
  • Experience with the following: Canva, Planoly, Mailchimp, Monday.com, Hubspot, WordPress, and Dropbox

Compensation: $50,000 – $60,000 + Annual performance-based bonus.
