We’re looking for an Executive Assistant – Executive Coordinator who will be responsible for providing comprehensive and diverse support to the CEO and executive team. This multifaceted role lies at the heart of the organization, contributing towards the successful management and oversight of our finances, people, and projects. They will help manage our remote office culture, look after events and social planning, as well as book travel for our team, among other tasks.

Some of the specific responsibilities for this role include:

  • Assisting with entry level bookkeeping tasks such as creating invoices, adjusting invoices, double checking invoice accuracy, expense entry and tracking, expense reimbursements, and basic financial reporting
  • Assisting with month-end financial tasks such as credit card receipt reconciliation
  • Helping with recruitment, including resume screening, participating in the interviewing process, as well as helping ensure each successful applicant is successfully onboarded
  • Planning events, coordinating fun, engaging social activities for the team, and organizing professional development
  • Assisting with travel bookings for our team
  • Assisting the sales team with procurement, including printing proposals and preparing shipping labels
  • Booking meetings, ensuring smooth office communication, and sending out memos and summaries
  • Taking excellent notes and providing summaries of meetings
  • Working on special projects for the executive team
  • Settling heated team debates about who is going to replace the late (and amazing) Ray Stevenson in the upcoming Star Wars: Ahsoka Season 2 – you’ll need excellent negotiation and arbitration skills

Requirements

  • Native, professional-level English speaking and writing skills
  • An excellent oral and written communicator
  • Immense attention to detail
  • Pro-active as opposed to reactive – not letting anything slip by unnoticed
  • Previous experience with bookkeeping or human resources would be an asset
  • Exceptional, well-rounded technology skills (e.g. Google Workspace, Adobe Suite, CRM’s, spreadsheets, etc.)
  • Must be available during regular business hours in Pacific or Mountain time
  • Humor is essential on a team like ours

Remuneration and Benefits
