Platinum Recruiting has started working with a client that specialises in the medical field. Our client focuses on enhancing physician engagement within the hospital, health authority, and the healthcare system at large and are now looking expand their team.

The Administrative Assistant/Project Lead will be responsible for monthly financial management, month end reporting, project management, and daily communications. This part-time role will be 15+ hours per week during the offices Monday-Friday work schedule.


Duties and Responsibilities:

  • Review and reconcile monthly TD Visa receipts and monthly invoices
  • Arrange for annual financial audits once fiscal year end is completed
  • Prepare monthly FE project status reports based on projects reviewed by the director
  • Prepare bi-monthly dashboard for review by director
  • Submit FE applications to the working group for their review, 10 days prior to the meeting
  • Update the summary of project reports and budget allocation
  • Booking venues, prepare posters, send meeting requests, request catering, and attend meetings as required for the purpose of taking minutes
  • Work with the CME Medical Lead
    • Being A/V requirements
    • Applying for accreditation with College of Physicians
    • Liaising with speakers to obtain conflict on interest forms and determine their meeting requirements
  • Schedule meetings, create agendas, and support director with meeting preparations
  • Data entry and filing records
  • Update bulletin boards bi-weekly
  • Update website on a timely basis
  • Update current list of preferred email addresses of members
  • Monitor and send out regular emails



  • Strong people skills and leadership stills
  • Experience with MailChimp and SurveyMonkey is an asset
  • Basic bookkeeping abilities
    • Able to reconcile financial data and do cheque runs
  • Proficient in MS Office Suite and Zoom
  • Strong organizational skills
  • Ability to lead smooth and efficient meetings

Salary – $35/hr

 Position – flexible working hours, 15+ hours a week
